Quick replies: message templates you insert with one click on any channel

Customer service agents with headsets in the office

There's a part of customer service work that never shows up in any report but eats up hours: typing the same thing over and over. The store address, today's hours, the Pago Móvil payment details, the "happy to help, I'll confirm in a sec." Ten, twenty, fifty times a day, every agent retypes —or copies and pastes from a note on their phone— phrases the company has already settled on. Quick replies exist for exactly that: save those texts once and drop them in with one click, on any channel.

What a quick reply is

A quick reply is a static, reusable message: a fixed text you write once that stays available to the whole team. Location, hours, payment methods, shipping instructions, a welcome greeting. Each one has a name and an emoji so you can recognize it at a glance —📍 Location, 🕒 Hours, 💳 Payment details— so you can find them instantly in a long list.

They aren't WhatsApp templates with variables or messages that depend on the customer: they're text as-is, ready to send. That simplicity is the whole point. Whatever changes from person to person (a quote, an invoice number, a name) doesn't live here.

How they work: one click, and you have the final say

In the chat panel, below the pinned messages, there's a picker with all your quick replies. You pick one and the text is inserted into the message box —it isn't sent on its own. There you can tweak it: add the customer's name, change a time, add a line. And only then do you send it.

That difference matters. The quick reply saves you the typing, but the message still goes through you before it goes out. It's not a robotic text that fires off by itself: it's your usual message, written in a second instead of a minute.

A quick reply doesn't answer for you; it takes the mechanical work off your plate so you can spend your time on what actually needs judgment.

The same set on all your channels

Klienz brings WhatsApp, Telegram, and Meta's channels (Messenger and Instagram) into a single inbox, and quick replies sit above that split: the same library shows up the same way on all three. You don't have to keep one list for WhatsApp and another for Telegram; you write the reply once and it's available wherever the customer is talking to you.

And it doesn't matter where you're working from: the picker shows up both in the inbox and on the pipeline board, with the same content. One place to define what your business says, many places to use it.

Managed in one place

Quick replies are managed from Settings → Messaging → Quick reply templates. There, an admin creates, edits, sorts, and deactivates each one, and assigns its emoji. Since the set is centralized, the whole team works with the same approved texts: nobody improvises the store address or sends out hours that have already changed.

What's worth saving

The rule of thumb: save whatever you answer on autopilot and that doesn't change from one customer to the next. A few classics worth having:

  • 📍 Location with the map link.
  • 🕒 Business hours (plus special days or holidays).
  • 💳 Payment details: Pago Móvil, bank transfer, foreign currency.
  • 📦 Shipping or pickup: instructions, delivery zones, timing.
  • 🙏 Welcome greeting and goodbye message.
  • ⚠️ After hours: "we'll get back to you as soon as we open".

What does change with each customer —an amount, an invoice, a personal detail— doesn't belong in a quick reply. That's what handwritten messages or templates with variables are for.

What a quick reply is NOT

It's not a bot: it doesn't reply on its own or decide when to send itself. It doesn't replace the agent; it takes the repetitive work off their hands. And it's not trying to "sound automated": since you insert it and can edit it before sending, the message goes out in your usual tone. If you want the conversation to move forward without a human stepping in —qualifying a lead, replying after hours— that's bots and workflows territory, not quick replies.

The minute you get back

Replying fast isn't always about hiring more people; often it's about no longer retyping what you already know by heart. A well-built quick reply library gives your team back the minutes that used to go into copying and pasting —and gives the customer a reply that arrives right away, without sounding like a machine.
